Pvtbox User Guide SaaS

Software as a Pvtbox service option is recommended solution for all type of client, from Home users to big enterprises.
It's easy to setup - just install computer and\or mobile applications, signup, and everything will be ready to use.

We host only coordination servers and do not have access to your files.
All your files are stored on your devices and transfers directly, peer-to-peer between them.

Here we will guide you from sign up and installation to advanced use technics.

How to sign up for Pvtbox

To start using Pvtbox you will need to create an account.

To create an account on pvtbox.net:

  1. Open https://pvtbox.net in your browser.
  2. Click "Registration".
  3. Type your email address.
  4. Type a unique password.
  5. Click the box to agree to the Pvtbox terms and conditions.
  6. Click "Sign up for Free now".

If you already installed the Pvtbox Android or computer apps, you can also create an account by launching the app and clicking box "I don't have a Pvtbox account".

Note: To use Pvtbox iOS app you need to create account on pvtbox.net or in Android or computer apps.

After creating account you will receive confirmation email from us.
Please confirm it by clicking link inside that email.

How to install Pvtbox apps

Install the Pvtbox apps on your computer, phone, or tablet to access your files from all your devices.

Install the Pvtbox app on your computer

To install the Pvtbox app on your computer:

  1. Open https://pvtbox.net in your browser.
  2. Go to download section of pvtbox.net.
  3. If download does not start automatically, click "click here to start it manually".
  4. Run the installer after download completes.
  5. Complete installation process, app will start automatically.
  6. Sign in or create a Pvtbox account. You only need one account no matter how many devices you want to keep in sync.

Install the Pvtbox portable app to your USB Drive

To install the Pvtbox portable app to your USB Drive:

  1. Open https://pvtbox.net in your browser.
  2. Go to download section of pvtbox.net.
  3. Click "Pvtbox for other platforms".
  4. Click "Download" button near Portable Version for Windows and Mac.
  5. Wait for download to finish.
  6. Unzip downloaded archive Pvtbox-portable.zip to your USB Drive.
  7. Launch Pvtbox-Windows if your current platform is Windows.
  8. Launch Pvtbox-Mac.dmg and follow the instructions if your current platform is MacOS.
  9. Sign in or create a Pvtbox account. You only need one account no matter how many devices you want to keep in sync.

Now you can sync and have access to your files on any Windows or MacOS devices, no need to install the Pvtbox app, just plug in your Pvtbox portable USB Drive, launch app and it's ready to sync.

The Pvtbox portable app leaves no traces on device you use it on!

Install the Pvtbox app on your phone or tablet

To install the Pvtbox app on your phone or tablet:

  1. On your phone or tablet, download the Pvtbox mobile app through the App Store or Google Play Store.
  2. Open the app.
  3. Sign in or create a Pvtbox account. You only need one account no matter how many devices you want to keep in sync.

Note: To use Pvtbox iOS app you need to create account on pvtbox.net or in android or computer apps.

How to add files to your Pvtbox account

Once you create an account, you can add files to your Pvtbox account.
Any files you add to your Pvtbox account sync across all your computers, phones, and tablets where you installed Pvtbox.

Add files from pvtbox.net

To add files from pvtbox.net:

  1. Sign in to pvtbox.net.
  2. Click "Upload file".
  3. Choose files, select as many files as you like
  4. Click "Open".

Note: Each file or folder that you upload on pvtbox.net must be 2 GB or smaller. For larger files or folders, use the desktop or mobile apps, which don’t have a file size limits.

Add files from your computer

To add files and folders from your computer there are several options available:

Adding via file explorer on Windows

To add files or folders from your computer via file explorer on Windows:

  1. Open your files explorer.
  2. Navigate to the Pvtbox folder, Pvtbox folder shortcut located on left corner of explorer window.
  3. Copy and paste or drag and drop files into the Pvtbox folder.
  4. When you add files to your Pvtbox folder, they'll sync to all your nodes automatically. Once your files have pvtbox icons over the file icons, they have successfully synced.

  1. Open your file explorer.
  2. Right-click on any file or folder.

To add files or folders from your computer via Pvtbox app on any platform:

  1. Open Pvtbox app.
  2. Click "Transfers" on bottom of window.
  3. Click "Add files..." on bottom-right corner of Transfers window.
  4. Choose files, select as many files as you like.
  5. Click Open.
  6. When you add files to your Pvtbox folder, they'll sync to all your nodes automatically. Once your files have pvtbox icons are over the file icons, they have successfully synced.

Add files from your phone or tablet

To add files and folders from your computer there are several possible ways:

Adding files via Pvtbox app

To add files or folders from your phone or tablet via Pvtbox app:

  1. Open the Pvtbox app on your phone or tablet.
  2. Tap the "+" (plus) button.
  3. Tap "Add Files" or "Add Photo" button.
  4. Choose file and tap "OK" or similar button.
  5. When you add files to your Pvtbox app, they'll sync to all your nodes automatically.

Adding files from your phone or tablet via Share action from any app

To add files or folders from your phone or tablet via Share action from any app:

  1. Tap share button for file or files you want to add.
  2. Tap on "Add to Pvtbox" inside menu.
  3. When you add files to your Pvtbox app, they'll sync to all your nodes automatically.

Adding files from your android phone or tablet files manager

To add files or folders from your android phone or tablet files manager:

  1. Open your file explorer, select file you want to copy.
  2. Tap "Copy to..." or similar button.
  3. Navigate to the Pvtbox folder located inside root of your local storage.
  4. Copy and paste or drag and drop files into the Pvtbox folder.
  5. When you add files to your Pvtbox folder, they'll sync to all your nodes automatically.

You can import all photos and videos from you device Camera (Gallery) folder, files will be synced with other nodes directly from your Camera (Gallery) and won't consume extra space on your device.
But if you delete some files from your Camera (Gallery), you will need to download them to browse on your device.

To import phone or tablet Camera (Gallery) folder:

  1. Open the Pvtbox app on your phone or tablet.
  2. Tap the "+" (plus) button.
  3. Tap "Import camera" to switch in to On position.
  4. All photos and videos from your Gallery will be synced to all your nodes automatically. No extra space will be consumed on your phone or tablet.

Note: On Apple devices it may be useful to switch "Convert HEIC photos to JPEG" option. To do that tap "More" and than tap "Convert HEIC photos to JPEG" to switch in to On position

Share file with others

You can share a file or folder to anyone at any time by sending a link to the recipient, and set it to be deleted within a certain period of time or immediately after download is made.

Recipients will be able to download file or folder even if they don’t have a Pvtbox account and Pvtbox apps.

You can create share links to share files and folder on pvtbox.net website, Pvtbox app on your computer or your mobile devices.

Share a file or folder on pvtbox.net

To share a file or folder with the Pvtbox website:

  1. Sign in to pvtbox.net.
  2. Right-click on file or folder in file manager.
  3. Click "Share".
  4. Click "Get Link" if you want to share folder.
  5. Click "Create link".
  6. You will see file or folder link you can share with others.
  7. You can copy link to clipboard by clicking "Copy link".
  8. You can send link by email. Type email of person you would like to share with in Email field and click "Send".
  9. You can cancel share by clicking "Delete".
  10. You can set link expiration and\or password by clicking "Link settings".

To set link expire date and\or password:

  1. To set link expire date click on dropdown menu and select the preferable option.
  2. To set password, just type it in the password field.
  3. After setting preferred options, click "Set" to save them.

Share a file or folder with the Pvtbox app on your computer

There are several ways to share file or folder on your computer:

Share files via Pvtbox app

You can share only some recently added files via Pvtbox app, to do that:

  1. Open Pvtbox.app.
  2. Click "Get link" button. Share link will be created and copied to clipboard.

Share files or folders via your files explorer context menu

You can share any files or folders via your files explorer context menu, to do that:

  1. Open the Pvtbox folder on your computer.
  2. Right-click the file or folder you’d like to share.
  3. Click "Pvtbox".
  4. Click "Get Link". Share link will be created and copied to clipboard.

Share files or folders via share menu from any app on MacOS

You can share any files or folders via share menu from any app on MacOS, to do that:

  1. Click share button for file or files you want to share.
  2. Click "Pvtbox".
  3. Click "Post". File(s) will be copied to the Pvtbox folder, share link will be created and copied to clipboard.

Share a file or folder with the Pvtbox mobile app

To share a file or folder with the Pvtbox mobile app:

  1. Open Pvtbox app.
  2. Tap file or folder menu button.
  3. Tap "Share".
  4. Tap "Get link" if you want to share folder.
  5. Tap "Create link".
  6. You will see file or folder link you can share with others.
  7. You can copy link to clipboard by tapping "Copy".
  8. You can share link via other apps by tapping "Send".
  9. You can cancel share by tapping "Remove".
  10. You can set link expiration and\or password by tapping "Set expire date" and "Set password" switches.

Download shared file or folder

You can download shared files and folder even if you don’t have a Pvtbox account and Pvtbox apps if someone gave you a link.

You can download shared files and folder by several ways:

You can open share link in your web browser:

  1. Paste share link to your web browser, pvtbox.net website with shared file or folder will open.
  2. If you have the Pvtbox app, click "Download file (folder) by app".
  3. If you don't, click "Download file".
  4. You may be prompted to enter password if share have one.
  5. You may be prompted to select folder for share download.
  6. Share will be downloaded and saved to selected destination or your Downloads folder.

Note: You can't download whole folder by one action without Pvtbox app, but you can download all files one by one

You can open share link in Pvtbox app on your computer:

  1. Open Pvtbox app.
  2. Click "Transfers" on bottom of window.

  5. Click "OK".

Files and folders sync

All files and folders added to your account sync to all your nodes automatically.
Node on your computer will download and store your files and folders, those files and folders will be available for offline work automatically.
Nodes on your mobile devices won't download files automatically, you should tap on them to download or use "Create offline copy" switch to make them available offline and always be up-to-date.

Exclude folders from sync on your computer

If you do not want some folders to be available offline on your computer you can exclude them from sync. To do that:

  1. Open Pvtbox app.
  2. Click menu button.
  3. Click "Settings", settings window will open.
  4. Click on "Account".
  5. Click "Choose folders..." under "Selective sync" section, window with all your folders will open.
  6. Remove check from folders you don't want to sync.
  7. Click "OK".

Make files and folders available offline on your phone or tablet

If you want to make some file or folder always available, even if you don't have an internet connection, you can add them to Offline files. All files and subfolders from that folder will be downloaded and become available offline.
All changes will automatically apply.

To make files and folders available offline on your phone or tablet:

  1. Open Pvtbox app.
  2. Tap file of folder menu button.
  3. Tap "Create offline copy" to switch to "On" position.

Restore file from backup

If you have accidentally deleted some important file or made some unwanted change to a file you can always revert that change if you have the Pvtbox app on your computer with backups turned on.

Turn on backups on your computer

To turn on backups on your computer:

  1. Open Pvtbox app.
  2. Click menu button.
  3. Click "Settings", settings window will open.
  4. Click "General".
  5. Click on "Let the system make backups of your files" box.
  6. Click "Ok", settings window will close.

Revert file changes from pvtbox.net

After turning on backups on one of your nodes, you can revert changes you made to that file lately. To do that:

  1. Sign in to pvtbox.net.
  2. Right-click on file or folder in file manager.
  3. Click "File version".
  4. File version window will open, here you can see file changes history.
  5. If you want to restore file to some state, click "Restore" on that state.
  6. File will restore automatically when there will be node with backups online.

Restore deleted file from pvtbox.net

After turning on backups on one of your nodes, you can restore files you deleted lately. To do that:

  1. Sign in to pvtbox.net.
  2. Click on the "eye" button (Show/Hide deleted).
  3. All deleted files and folders will appear.
  4. Right-click on file you want to restore.
  5. Click "Restore file".
  6. File will restore automatically when there will be node with backups online.

Manage you devices

You can always check what happens on your nodes, check if all nodes in sync, see what node is doing at the moment and manage your devices.

Manage your devices from pvtbox.net

To manage your devices from Pvtbox website:

  1. Sign in to pvtbox.net.
  2. Click on your email.
  3. Click "My Devices" inside opened menu.
  4. My devices window will open here you can see all your nodes, their statuses.
  5. You can manage you devices by clicking on "Manage" button, actions menu will open.
  6. You can remove your offline device from list by clicking "X" (remove) button.

To manage your devices from Pvtbox app on computer:

  1. Open Pvtbox app.
  2. Click on devices button in main window.
  3. My devices window will open here you can see all your nodes, their statuses.
  4. You can manage you devices by clicking on "manage..." button, actions menu will open.

Check your network transfers on computer

To check your network transfers and manage downloads from Pvtbox app on your computer:

  1. Open Pvtbox app.
  2. Click "Transfers" on bottom of window.
  3. Transfers window will open.
  4. You can see all your download on the left side.
  5. You can pause your downloads by clicking "Pause all" button.
  6. You can resume you downloads by clicking that button "Resume all" again.
  7. You can see all your uploads on the right side of transfers window.

Manage your devices on phone or tablet

To manage your devices from Pvtbox app on phone or tablet:

  1. Open Pvtbox app.
  2. Tap "More" on iOS device or tap on sliding sidebar icon (hamburger) on android device.
  3. Tap "My Devices"
  4. "My devices" list will open here you can see all your nodes and their statuse.
  5. Current device is always the first in the list.
  6. You can manage you devices by tapping on "Manage..." button, actions menu will open.
  7. To open current device detailed status tap "Details..." in actions menu.

Manage current downloads on your phone or tablet

To manage current downloads from Pvtbox app on phone or tablet:

  1. Open Pvtbox app.
  2. Tap "Downloads" on iOS device or tap sliding sidebar icon (hamburger) and "Downloads" on android device
  3. List of current downloads will open, if you have some downloads, they will appear in that list.
  4. You can pause all your downloads by tapping "||" (pause) button.
  5. You can resume all you downloads by tapping this button (resume) again.
  6. You can tap file menu button to open actions menu.
  7. Here you can cancel download by tapping "Cancel Download", delete file by tapping "Delete" and view file information by tapping "Properties".

Collaborate with other users

You can add a collaborator to your folder, assigning him/her access to the content and giving them the right to upload files there.
Later you can change their access or even remove them.

Invite other users to collaborate on pvtbox.net

To invite other users to collaborate from Pvtbox website:

  1. Sign in to pvtbox.net.
  2. Right-click on folder you want to share.
  3. Click "Share".
  4. Click "Collaboration settings".
  5. Type email of person you want to collaborate with.
  6. Select access rights you want to give to that person.
  7. You can add a message if you want.
  8. Click "Invite".
  9. You will see that person in colleagues list with "Invited" status.

Manage collaboration folders on pvtbox.net

To manage collaboration folders from Pvtbox website:

  1. Sign in to pvtbox.net.
  2. Right-click on folder you want manage.
  3. Click "Share".
  4. Click "Collaboration settings".
  5. You will see your colleagues list.
  6. You can add one more colleague by typing his email, selecting access rights and clicking "Invite" in invite section.
  7. If you want to remove someone from collaboration, click "Delete".
  8. If you want to change someones access rights, click on permission and select access rights you want that person to have.
  9. If you want to cancel collaboration and remove access to your folder, click "Cancel collaboration".

To accept collaboration invitation from Pvtbox website:

  1. Sign in to pvtbox.net.
  2. If someone invites you to collaborate, you will see a new notifications icon, click on bell icon.
  3. Notifications page will open.
  4. Click on text "here" in invitation.
  5. You will join collaboration, new folder will appear in your files, it will be synced automatically on all your devices.

  8. Click on colleague you want to manage or click on yourself, actions menu will open.
  9. Click on desired action.

  1. Open Pvtbox app.

Accept collaboration invitation from Pvtbox app on your phone or tablet

To accept collaboration invitation from Pvtbox app on your phone or tablet:

  1. Open Pvtbox app.
  2. If someone invites you to collaborate, you will see a new notifications icon over "More" icon on iOS device or over sliding sidebar icon (hamburger) on Android device. Tap "More" on iOS device or sliding sidebar icon (hamburger) on Android device.
  3. Tap "Notifications".
  4. Notifications window will open.
  5. Click on notification to accept invitation.
  6. You will join collaboration, new folder will appear in your files, it will be synced automatically on all your devices.

Accept collaboration invitation received by email

To accept collaboration invitation received by email:

  1. Open email.
  2. Click on the link inside email.
  3. You will join collaboration, new folder will appear in your files, it will be synced automatically on all your devices.

Business Admin Panel

Business accounts have a centralized administrative panel, which enables them to view current employees and add new ones, assign them different access rights, monitor their actions, check clocking-in time and work duration, and so on. Information about your employees is always in front of you, so you can easily control the workflow.

Company settings

To change your company name:

  1. Sign in to pvtbox.net with your business admin account.
  2. Click "Admin panel".
  3. Click "Company".
  4. Click "Change company name".
  5. Type your company new name in opened window.
  6. Click "Save" button.
  7. Your company new name will be saved and appear in company name field.

To change your company online office (Collabora or Only Office) server address:

  1. Sign in to pvtbox.net with your business admin account.
  2. Click "Admin panel".
  3. Click "Company".
  4. Click "Change office server address".
  5. Type your company online office server address in opened window.
  6. Click "Save" button.
  7. Your company new name will be saved and "Open in Online Office" action will appear in your and your colleagues files menus.

Manage collaborations and business users

To manage collaborations and business users:

  1. Sign in to pvtbox.net with your business admin account.
  2. Click "Admin panel".
  3. Click "Collaboration settings".
  4. You will see all your colleagues, used and available licenses and you will be able to manage them from that page.
  5. "(external license)" mark near user email means that the user have his own license and does not consume one of your available licenses.

Invite other users to collaborate with admin panel

To invite new users to collaborate:

  1. Type email of the person you want to collaborate with.
  2. Click "Invite".
  3. Permissions page will open.
  4. Click "+ Add new".
  5. Window with all you folders will open. You can select existing folder you'd like to share.
  6. Or you can create new folder by clicking "+ Create new folder".
  7. Click "Select".
  8. Permissions page will refresh, you colleague will receive invitation.
  9. You can share with user multiple folders, to do that you should repeat actions starting from step 4.

Manage other users collaboration folder access with admin panel

To manage other users collaboration folder access with admin panel:

  1. Click "Set" near user you want to manage.
  2. Permissions page will open.
  3. You will see list of folders user have access to and his rights to that folders.
  4. If you want to change them, click on current access rights, menu will open.
  5. You can select new access rights user should have.
  6. You can remove all rights for user from that folder click "Remove from this user".

Remove user from all collaborations

You can remove user from all collaborations, if user does not have external license, your used licenses count will decrease by 1 and you will be able to invite another person to collaboration immediately.

To remove user from all collaborations:

  1. Click "Remove license" or "Exclude user" (for user with external license) near user you want to remove.
  2. Alert will open.
  3. Click "YES" if you want to delete that user from all collaborations. Collaboration folders will be deleted on all nodes of that user.

Note: you won't be able to re-invite recently removed user within 24hours

View activity report

To view activity report:

  1. Sign in to pvtbox.net with your business admin account.
  2. Click "Admin panel".
  3. Click "Reports".
  4. You will see all your colleagues activity report.
  5. You can filter results and show activity of one of your colleague by selecting him in users list.
  6. You can filter results and show only some specific activity by selecting that activity in activities list.
  7. You can filter results by date ranges you are interested in by selecting that range in dates field.

Manage server licenses

You can view nodes running on server versions of OS and your used and available server licenses on "Server licenses" page.

To open server licenses page:

  1. Sign in to pvtbox.net with your business admin account.
  2. Click "Admin panel".
  3. Click "Server licenses".
  4. You will see all your and your colleagues nodes running on server versions of OS, used and available server licenses.
  5. You can remove logout node and free one license by clicking "X" (remove) button.

You can always contact us from Pvtbox app on your computer:

  1. Open Pvtbox app.
  2. Open menu.
  3. Click help.
  4. Help window will open.
  5. You can go to FAQ section of website by clicking "this link".
  6. Select subject.
  7. Type your message.
  8. Click on box "Attach node logs" (optional, but recommended).
  9. Click "Send".

You can always contact us from Pvtbox app on your phone or tablet:

  1. Open Pvtbox app.
  2. Tap "More" on iOS device or tap on sliding sidebar icon (hamburger) on Android device.
  3. Tap "Contact us".

  5. Select subject.
  6. Type your message.
  7. Click "Send".
